Why hospital pharmacy stock is different from retail POS
Hospital pharmacies dispense against clinical prescriptions, manage high-value and cold-chain items, and must explain every write-off. A generic shop POS that only sells SKUs will not survive a medical audit or a busy evening OPD rush.
FEFO in practice
First-Expiry-First-Out means staff should see which batch should leave the shelf next. Your HMS should make near-expiry visible during dispense and purchasing — not only in a monthly Excel that nobody opens.
Dispense must update stock and billing together
If pharmacists reduce stock in one screen and cashiers invent invoice lines in another, shrinkage and leakage both grow. Prescription-linked dispensing that posts stock movements and chargeable lines in one action is the standard to demand.
Adjustments and write-offs need a trail
Breakage, expiry destruction, and cycle-count fixes happen. What matters is an auditable movement history with reason and user — not silent quantity edits. Managers should review write-off patterns by branch and category.
Purchasing and vendors
Categories, brands, units, and vendors keep the formulary usable. Purchase receipts should increase stock with batch/expiry context where your process requires it, so FEFO has data to work with.
Alerts that pharmacists will actually use
Low stock and near-expiry alerts only help if they are actionable on the same board pharmacists already open. Noise alerts get ignored; severity and value thresholds matter.
